How Helia AI works
Helia AI is assistive, not autonomous. It drafts and summarises to save your team time — and a person always reviews, edits, and owns the result. We deliberately do not run autonomous “HR agents” that act or decide on their own, because decisions about people should stay with people.
Our principles
- Human-in-the-loop. AI drafts; a person edits and owns the outcome.
- No automated decisions about people. No automated hiring, firing, rating, or pay (GDPR Art. 22).
- Least data. Only the fields a feature needs are sent — never salary/pay.
- Anonymity holds. Summaries of anonymous feedback stay aggregate.
- EU-hosted, no training. The app + database are in the EU (Frankfurt); AI runs server-side via OpenAI (US) under a no-training agreement.
- Optional + gated. AI runs only when a permitted user chooses it; each feature respects the same role permissions as the data it reads.
What Helia AI does
- Drafts a career growth plan a manager then edits.
- Drafts a manager's performance review from the employee's own self-review, goals, and anonymous 360 — the manager edits and decides the rating.
- Summarises anonymous pulse (eNPS) comments into themes — in aggregate, never re-identifying anyone.
- Suggests who to staff on a project from skills + availability — the manager makes the assignment.
- Writes a founder's weekly briefing from your own live numbers.
- Helps with recruitment text (job descriptions) and parses CVs you upload.
What Helia AI never does
- Makes an automated decision about a person — no automated hiring, firing, rating, or pay (GDPR Art. 22).
- Takes an irreversible action on its own — a human always confirms.
- Sends salary or pay figures into an AI prompt.
- Re-identifies who said what in anonymous feedback.
- Trains any model on your data.
Your data + the provider
AI features are processed server-side via OpenAI (US) as a sub-processor, under a no-training agreement — your prompts are not used to train models. Only the fields needed for the specific action are sent. This is disclosed in our Privacy Policy (sections 8–9) and covered by our DPA.
