Refund & Cancellation Policy

1. What this covers

This policy explains how cancellations and refunds work for a paid Helia HR subscription. It sits alongside our Terms of Service and Privacy Policy. Paid plans are not enabled yet — every tenant is currently on the free trial (see section 2) — so no charges are being taken today. The terms below take effect when paid plans launch.

2. Free trial — no card, no charge

New tenants start on a 14-day free trial with no credit card required. Because nothing is charged during the trial, there is nothing to refund — if Helia HR isn't right for you, simply stop using it or close your tenant before adding a payment method.

3. Monthly plans — cancel anytime

You can cancel a monthly subscription at any time from your account's billing settings. Your plan stays active until the end of the current paid month, after which it will not renew and you won't be charged again. We do not pro-rate or refund the partial month you've already started, but you keep full access until it ends.

4. Annual plans — 14-day money-back, then cancel-to-not-renew

Annual (prepaid) plans include a 14-day money-back window from the date of purchase: if you cancel within 14 days of an annual payment, we refund it in full. After 14 days the annual term is non-refundable, but you can cancel at any time to stop the next renewal and you keep access until the end of the term you paid for.

5. How to cancel

Cancel self-serve from Settings → Billing in your Helia HR account, or email billing@heliahr.com and we'll process it for you. Cancellation takes effect at the end of your current billing period; you'll receive a confirmation by email.

6. Billing errors and duplicate charges

If you're charged in error — a duplicate payment, the wrong plan, or a charge after a confirmed cancellation — contact billing@heliahr.com and we'll correct it and refund the incorrect amount in full, promptly. This is in addition to any statutory rights you have under EU consumer law.

7. Payments and refunds are handled by Paddle

Helia HR uses Paddle as its Merchant of Record. Paddle processes payments, handles VAT/sales tax, and issues refunds on our behalf. Approved refunds are returned to your original payment method; depending on your bank or card issuer this typically takes about 5–10 business days to appear. Your payment-method details are held by Paddle, not by Helia HR.

8. If we suspend or discontinue the service

If we suspend your account for a material breach of the Terms, fees already paid are not refunded. If we choose to discontinue Helia HR entirely, we'll give reasonable notice and refund the unused, prepaid portion of any annual term on a pro-rata basis.
